VillaFact – Privacy Policy

Welcome to VillaFact, your Home Intelligence Platform.
We respect your privacy and are committed to protecting your personal data. This Privacy Policy explains how VillaFact collects, uses, discloses, and protects information when you use our applications and services, visit our websites, communicate with us, or subscribe to our marketing or informational communications.
This Privacy Policy applies to users of the VillaFact platform, visitors to our websites, and other individuals whose information we collect in connection with our business.
By using VillaFact, you agree to this Privacy Policy. If you do not agree, please do not use our services.
2. Definitions
“Personal Information” means any information that identifies, relates to, describes, is reasonably capable of being associated with, or could reasonably be linked, directly or indirectly, to an individual or household (e.g., name, email, phone number, IP address, or account identifiers).
“Property Data” means information about a specific home or household that may be associated with an identified or identifiable consumer or household, such as address, appliances, maintenance records, inspection reports, photographs, or condition assessments.
“We,” “Us,” or “VillaFact” refers to VillaFact, Inc., an Oregon corporation.
“You” or “User” means any individual or organization using the VillaFact platform, visiting our websites, or receiving our communications, whether as a homeowner, property manager, service provider, or other visitor.
3. Information We Collect
VillaFact may collect the following categories of Personal Information, as defined by applicable state privacy laws:
- Identifiers (e.g., name, email address, IP address)
- Customer account information
- Commercial information (e.g., services purchased or considered)
- Internet or network activity
- Geolocation data
- Sensory data (e.g., photos or inspection documentation)
- Professional or employment information
- Inferences drawn from the above
- Sensitive Personal Information (e.g., account access credentials)

4. How We Use Your Information
We use your information to:
- Provide, operate, and improve the VillaFact app and web platform
- Generate and maintain your property’s digital “Home Profile”
- Send reminders, recommendations, and status updates about your home and information about VillaFact and its services.
- Connect you with service providers or partners you choose
- Provide customer support and respond to inquiries
- Analyze usage to improve performance and user experience
- Improve our marketing website and user experience, understand which content performs well, respond to inquiries or messages you submit, and send newsletters or marketing communications where permitted by law or based on your preferences.
- Use artificial intelligence and machine learning technologies to analyze Property Data and usage information in order to provide insights, recommendations, predictive maintenance information, and to improve the functionality and reliability of the VillaFact platform. We may use de-identified or aggregated information, including information derived from Property Data, to develop, train, and improve our artificial intelligence and machine learning models.
- Comply with legal obligations, enforce our legal rights, and prevent fraud or misuse.
Where required by applicable law, VillaFact obtains consent before processing Sensitive Personal Information. Sensitive Personal Information is used only for purposes permitted under applicable state privacy laws, such as service delivery, security, and compliance. VillaFact’s access to payment-related information is limited to non-sensitive details such as billing status, subscription level, and transaction identifiers provided by Stripe. Stripe is certified as a PCI-DSS Level 1 Service Provider. VillaFact does not receive or store full payment card numbers and relies on Stripe to securely process payment information.
5. Cookies
Cookies are small files stored on your device to help the marketing site function properly and improve performance, and are used for analytics purposes. You can control or delete cookies through your browser settings. Disabling cookies may affect how the site works for you. Where required by applicable law, we provide visitors with the ability to opt out of certain cookies and tracking technologies used for advertising or analytics purposes. We also honor recognized browser-based opt-out signals, such as the Global Privacy Control (GPC), where required by law.
6. Data Sharing and Disclosure
VillaFact may disclose Personal Information for business purposes to:
- Service providers: to host data, process payments, send communications, or perform analytics under strict confidentiality.
- Authorized partners: product and service providers, such as property managers, inspectors, maintenance professionals, or insurance partners You connect with. These partners receive only the information needed for their work.
- Professional advisors (legal, accounting, compliance)
- Government authorities, as required by law
While VillaFact may send specific emails to existing users based on their role, and show in-product messages and offers based on account type and role, VillaFact does not sell or share Personal Information, including Sensitive Personal Information, as those terms are defined under applicable U.S. state privacy laws.
Because VillaFact does not sell or share Personal Information for cross-context behavioral advertising, VillaFact does not offer an opt-out mechanism for the sale or sharing of Personal Information at this time.
If VillaFact’s data practices change in the future, this Privacy Policy will be updated and a “Do Not Sell or Share My Personal Information” link will be made available as required by law.
7. Data Retention
We retain:
- Personal Information only as long as necessary to provide VillaFact or comply with legal obligations.
- Property Data (e.g., maintenance history, photos, serial numbers) may remain linked to the property even if you delete your account, to preserve its verified digital record. Property Data retained with a property record is not used for targeted advertising and is maintained to preserve the integrity of the verified home record without a direct link to the deleted user account, e.g., entries will list “Former User”.
When data is no longer needed, it is deleted or de-identified using reasonable and appropriate methods consistent with applicable law.
8. Data Security
We use commercially reasonable administrative, technical, and organizational safeguards, including encryption, secure storage, and access controls, designed to protect your data. Despite these efforts, no system is 100% secure, and we encourage you to use strong passwords and protect your devices.
9. Your Rights and Choices
Residents of covered states may have the following rights, subject to applicable law:
- Right to Access – Confirm whether VillaFact processes Personal Information and access such data
- Right to Delete – Request deletion of Personal Information
- Right to Correct – Request correction of inaccurate Personal Information
- Right to Data Portability – Obtain a copy of Personal Information in a portable format
- Right to Opt Out – Opt out of sale, targeted advertising, or profiling in furtherance of decisions with legal or similarly significant effects (not applicable at this time)
- Right to Appeal – Appeal a decision regarding a consumer rights request
Where an account is created or managed by an organization, certain privacy choices and requests may be administered by the authorized account administrator.

VillaFact will not discriminate against consumers for exercising their privacy rights.
Appeals Process (VA, CO, CT): If VillaFact declines to take action on a consumer request, the consumer may appeal the decision by following the instructions provided in VillaFact’s response.
10. Links to Other Websites
Our app and website may contain links to external websites. We are not responsible for the content or privacy practices of these sites.
11. International Data Transfers
Your data may be processed and stored in the United States or other countries where we or our service providers operate. By using VillaFact, you consent to such transfers, which will comply with applicable data protection laws.
12. Children’s Privacy
We do not knowingly collect personal data from minors. If we become aware that a child has provided personal information, we will delete it immediately.
13. Governing Law and Jurisdiction
This Privacy Policy and any disputes arising out of or relating to it shall be governed by and construed in accordance with the laws of the State of Oregon, without regard to its conflict of laws principles. Except where prohibited by applicable law, any legal action or proceeding relating to this Privacy Policy shall be brought exclusively in the state or federal courts located within the State of Oregon, and the parties consent to the personal jurisdiction and venue of such courts.
14. Changes to This Policy
We may update this Privacy Policy from time to time. If we make significant changes, we will notify you by email or through the app. The “Last Updated” date at the top reflects the latest version.
